This policy explains what Rowing Precision (“we”, “us”, the trade name of MajorDecibel Inc.) collects when you use CrewLogger, the CrewLogger mobile app, the Rowing Precision Control app and the online features of Rowing Precision devices (the “Service”), what we do with it, who can see it, and the choices you have. It is written to meet Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and, for people in the European Union and United Kingdom, the GDPR.
1. Who is responsible
Rowing Precision, St. Catharines, Ontario, Canada, is accountable for your personal information; the legal entity is MajorDecibel Inc. Our privacy contact is hello@rowingprecision.com.
2. What we collect
- Account details. Name, email, password (stored only as a hash), country, roles (athlete, coxswain, coach), and optional profile fields you choose to add such as date of birth, gender, height, weight and para classification.
- Device information. Device identifiers, firmware versions, battery and diagnostic data, and crash reports from your Rowing Precision devices and our apps.
- Workout data. Stroke data, stroke rate, splits, GPS tracks and timestamps, heart rate when a monitor is connected, erg sessions, and the notes attached to them.
- Audio recordings. CoxPro recordings capture the coxswain's voice and anything else near the microphone, with the timestamps and boat data recorded alongside.
- Video. Video recorded through our apps, with its audio and, if you allow location access, where it was filmed.
- Connections. Which coaches, athletes, teams and programs you are linked to, and which devices are claimed by, assigned to, or linked to you.
- Usage information. Pages and features used, IP address, browser or app version, and timestamps. Our site analytics is cookie-free and does not track you across other sites.
- Your messages to us. Support emails and anything you send with them.
- Purchases. When you buy a plan through the Rowing Precision store we receive the order reference, the plan, and the email it was bought for. Card details go to the store's payment provider, never to us.
We do not knowingly collect information from children under 13. See section 10.
People who appear in recordings. Audio and video uploaded by coaches and coxswains can capture athletes and others, including people without accounts and minors. We store and process it on the uploader’s behalf; the uploader is responsible for having the consents their sport organisation and the law require (Terms, section 3). If you appear in a recording, see sections 9 and 10 for what you can ask of us.
3. How we use it
- To provide the Service: store your workouts and recordings, match recordings to the sessions they were made in, show your data to you and to the people you share it with, and send account emails such as password resets and notices about your plan or data.
- To support you when you ask for help and to investigate problems you report.
- To keep the Service secure, prevent abuse and fraud, and enforce our Terms.
- To operate and improve the Service, described in section 4.
- To meet legal obligations and respond to lawful requests.
We do not make decisions about you by automated means that have legal or similarly significant effects.
4. Product improvement and staff access
We use Content and usage information to develop, test and improve the Service and our devices: tuning firmware and algorithms such as stroke detection, session matching and audio processing, fixing defects, and building statistical models of rowing performance.
- We may look at your data. Authorised staff may review workout data, device diagnostics and usage information as stored, including data that identifies you. We do not currently de-identify data before this work; where practical we use aggregated figures across many users.
- We do not listen to your audio or watch your video without your permission. Recordings are processed automatically (transcoding, waveforms, matching to workouts). A person at Rowing Precision only listens to a recording or watches a video when you have given permission, for example by sending it to us or asking us to look at it to solve a problem you have reported.
- Authorised staff only. A small number of authorised staff and contractors, under confidentiality obligations, can access your account and Content through our administration tools for support, problem investigation, security and legal compliance, limited to what the task needs.
- Opt out. You can opt out of product-improvement use beyond what is needed to operate, secure and support the Service by emailing us. Aggregated data already in use cannot be withdrawn.
5. Legal bases (EU and UK)
We process your information to perform our contract with you (providing the Service), for our legitimate interests (security, support, and improving the Service, balanced against your rights and with the opt-out above), with your consent where the law requires it (optional profile fields, location tagging, leaderboard display), and to comply with legal obligations.
6. Who can see your information
- People you connect with. Coaches, teams and programs you are linked to see the workouts, recordings and video the Service shows them. Athletes see their own data. You manage these connections in your account. How a coach or program uses what you share with them is their responsibility.
- People you share with. Anyone with a share link can open it until it expires. Leaderboard visitors see what your leaderboard settings allow.
- Coaches’ recordings. Audio and video a coach uploads live in the coach’s account and are visible to that coach and to anyone they share a link with. The Service does not currently show athletes the recordings a coach has made of them.
- Linked devices. Recordings from a device linked to an account are uploaded to that account. The Control App and the website show which account a device is linked to.
- Service providers who process data on our behalf under contract, such as our hosting provider, our cloud storage and delivery provider for audio and video, our map provider (your browser sends it your IP address and the map area being viewed), the app stores that distribute our apps, our store platform, and our email provider. We may change providers; we require each to protect your information.
- Legal and business. We disclose information when the law requires it, to protect the safety of people or the Service, to enforce our Terms, or in connection with a financing, sale or merger of our business, in which case this policy continues to apply to your information.
We do not sell personal information and we do not share it with advertisers.
7. Where your data is stored
Your data is stored and processed in Canada and the United States, and audio and video are delivered through a global content network. If you use the Service from outside those countries, your information is transferred there, where laws may differ from yours. For EU and UK users we rely on standard contractual clauses or an equivalent lawful transfer mechanism with our providers.
8. How long we keep it
- Account and workout data: while your account is open, or until you delete the item.
- Share links: for a limited period after the link was made or last renewed (currently 30 days), then the shared copy is deleted automatically.
- Audio and video on a plan: while the plan is active and within its quota. When a plan lapses, new uploads stop, existing recordings stay readable for a grace period, and they are then deleted. We give notice before deletion.
- Closed accounts: personal information is deleted within a reasonable period after closure, normally 30 days, except what we must keep to meet legal or accounting obligations, resolve disputes, or enforce our agreements.
- Backups rotate on a regular cycle, so deleted data can persist in a backup for a limited time afterwards.
- Consent records: the date, version and method of your acceptance of our Terms and this policy are kept while your account exists and for the period afterwards that the law requires.
- Copies on your devices and in the Control App library are under your control and are not affected by anything above. Note that an RPX removes its own copy of a workout once the upload is confirmed, so the copy on the Service may be the only one.
9. Your rights and choices
- See, correct and export the personal information we hold about you.
- Delete workouts, recordings and video yourself, and ask us to close your account and delete your information.
- Withdraw consent for optional processing, including opting out of product-improvement use as described in section 4.
- Control who sees your data through your connections, share links and leaderboard settings.
- Unsubscribe from any marketing email using the link in it. Account and service emails continue while you have an account.
- If you appear in a recording and do not have an account, or you are the parent or guardian of an athlete who does, you can ask us whether a recording of you exists and ask us to remove it. We act on such requests promptly, and first where safety is at stake.
- For EU and UK users: the rights of access, rectification, erasure, restriction, portability and objection, and the right to complain to your local supervisory authority.
- For Canadian users: you may complain to the Office of the Privacy Commissioner of Canada if you believe we have not handled your information properly.
- For California residents: you have the right to know, delete, and not be discriminated against for exercising your rights. We do not sell or share personal information for cross-context advertising.
To exercise any of these, email hello@rowingprecision.com. We may need to verify that you are the account holder. We respond within 30 days.
10. Children and young athletes
The Service is not for children under 13, and we delete any account we learn belongs to one. Rowers under the age of majority may use the Service with the agreement of a parent, guardian, school or club. Coaches and programs who add such athletes are responsible for having that agreement. A parent or guardian can contact us at any time to review or delete a young athlete's information.
Coaches and programs that record athletes under the age of majority must follow their sport organisation’s athlete-protection (Safe Sport) rules and hold the consents those rules require. We remove recordings of a minor on request from a parent or guardian, and we report any content that sexualises or exploits a minor to the police and to the Canadian Centre for Child Protection (Cybertip.ca) or the equivalent body where the content originates.
11. Security
Connections to the Service are encrypted. Passwords are stored as salted hashes. Audio and video sit in private storage and are reached only through short-lived signed links minted after an access check. Access by our staff is limited to what their role needs. No system is perfectly secure, and we cannot guarantee that unauthorised access will never occur. If a breach creates a real risk of significant harm to you, we will notify you and the relevant authorities as the law requires.
12. Cookies
We use a session cookie to keep you signed in and a small number of preference cookies, for example your theme choice. These are essential to the Service and cannot be switched off while using it. Our analytics does not use cookies. We do not use advertising or cross-site tracking cookies, and we do not respond to browser "do not track" signals because we do not track.
13. Changes to this policy
We may update this policy. The date at the top tells you which version you are reading. For material changes we will notify you by email or in the app and, where the Terms require it, ask you to accept the new version.
